  Job Description

Under the direct supervision of the Medical Officer EPI as the first level supervisor in close collaboration with the Programme and Administrative Officer, and the WHO Representative of Pakistan as the second level supervisor, the Programme Assistant will undertake the following duties:

1. Provides secretarial and administrative support to the EPI Medical Officers, ensuring that deadlines are met, that correspondence and queries are responded to in a timely manner, as well as verifying that outgoing correspondence is presented in accordance to WHO style and checking grammar and accuracy prior to submitting for signature and clearance; supports the typing and editing of technical reports and presentations; draft general correspondence on own initiative or on the basis of instructions; analyze incoming correspondence and requests in the light of background material, instructions and policies, researching, obtaining and attaching background information in anticipation of the Professional staff needs or redirecting them as appropriate; to identify and highlight incoming documents and background information and areas requiring action by professional staff

2. To facilitate all administrative requirements in respect of official and statutory travel by the EPI Medical Officers, visiting missions to Pakistan including airline and hotel reservations and bookings, security clearances, issuing of Note Verbales for visa issuance, processing the travel requests in GSM

3. Facilitates the attendance of national participants from the EPI Programme to WHO meetings, including following up with the Ministry of Health for nominations, requesting the supplier details for supplier creation in GSM, requesting and issuance of Note Verbales for visas, airline reservations, processing of the travel requests in GSM and following up to ensure per diem payment is effected

4. Lend administrative support required for the organization and conduct of meetings and training activities for EPI. Attend meetings to take notes and prepare minutes when required. Supports the organization of inter-country meetings to be held in the country and provides administrative and secretarial support during the meeting

5.Processes requests received from the Ministry of Health for the EPI programme for DFCs, APWs, fellowships, local cost supplements, travel, short term consultants and visitors/missions to Pakistan, coordinating for necessary approvals and processing in GSM. Follows up as required with the Ministry and National Programme Coordinators, EMRO and GSC for approvals, monitors the completion of deliverables and payments.

6. Assist in the preparation of the office budget for the EPI Programme, ensuring funds are encumbered for smooth operations

7. Support the processing of supply requests received from the Ministry of Health and for the Programme, including the call for quotations and processing in GSM. Arrange for the receipt and clearance of supplies, including required Ministry of Foreign Affairs approvals and customs clearance. Ensure payments are released when goods are received.

8. Maintain and update the inventory records of the Programme

9.Coordinate with the Finance Department to ensure the timely release of payments for salaries, consultants, supplies, meeting and local costs.

10.Support the monitoring of contracts related to the EPI programme, ensuring evaluation reports are completed, extensions processed on a timely basis and EPI programme staff records maintained, including the GSM record.

11.Maintains all records and reference files for the Programme
