PURPOSE OF THE POST Under the overall supervision of the Chief of the Unit, to provide administrative, financial, management (system, procedures and activities) human resources, logistics/procurement and operational support to the Polio Unit. MAJOR DUTIES AND RESPONSIBILITIES: Provide administrative & operations support to the programme staff mainly travel management, organizing workshops/meetings, and process payments. Process and examine the information and data in accordance with instruction received, organizes data in the system and process requisitions and travel authorizations Prepare briefing notes for workshops, meetings with counterparts, and section meetings. Circulate the notes and follow up on the action points with the relevant programme staff. Arrange appointments and meetings, both internal and external, some involving high-ranking officials, receives high level visitors, places and screens telephone calls, answers queries with discretion, responds to routine requests for information and assists in making the necessary arrangements for the meetings. Maintain and compile record of projects, cash and supply inputs. Coordinate with counterparts and programme in correspondence related to cash and supply assistance to projects. Follow-up on cash advances, scrutinize bills and relevant documents upon submission for liquidation for processing through finance section. Assist in monitoring the implementation of activities through field visits. Ensure timely disbursements of instalments to the partners including NGOs, Government Departments and consultants, upon clearance from Programme Officers. Respond to queries from counterparts related to financial transactions, accounts and supply requirements and delivery status in consultation with programme officers. Coordinate with operations & other UNICEF sections for day to day administrative, financial and operational matters Any other task assigned by the supervisor |
